Customer designs the project in phases or chapters in his own ERP, assigning specific tasks to be carried out. Each task will contain information about itself, cost and specific sale. From ERP you can manage third parties purchases and it will introduce the purchase delivery notes related with the project. Tasks that include personal work will be managed separately from Attendo.

PLANNING

Attendo will import the approved projects and will create as many chapters as there are phases. Tasks will be created in Attendo as tickets, which can be planned in a Gantt chart, becoming tasks (scheduled tickets). Estimated costs, as well as the sale, will be stored per ticket. The diagram will allow modifying dates, assigning, replanning, detecting inconsistencies, etc.

From Attendo the costs and times will be attributed to each ticket and task. These will be attributed to each ticket and task. These will be passed on to the chapter automatically and to the overall project. In this way, the service items can be analyzed from Attendo to see the deviations in the services. Attendo can connect to the ERP to raise the total costs per chapter, as well as the total hours allocated to analyze the profitability of the project from the ERP.

HOW DOES THE MODULE WORK?

PROJECT STRUCTURE

The project is made up of phases or chapters that are imported into Attendo as chapters. Besides, each phase or chapter is made up of multiple tasks that are imported into Attendo as subchapters, or groups of tickets.

When a project is imported, it is determined which phases or chapters, as well as their respective tasks, will be worked in from Attendo. Once the global structure is created, subchapters will be created (as many as desired, with the required levels), with the estimated hours per subchapter in Attendo, with the following elements:

    • Simple tickets: work to be done that should not be planned, or is done in a preliminary way. Tickets can:
      • Assign to agent groups
      • Assign to a specific agent
    • Tasks work to be performed on a scheduled basis (calendar) to be planned on a Gantt chart. Tickets can:
      • Assign to agent groups
      • Assign to a specific agent

The purchases of materials, subcontracting and similars, must be done from the ERP.  The assignment of estimated hours per ticket or subchapter will be essential to be able to make the continuous analysis of deviation of hours.

GANTT DIAGRAM

In Attendo, tickets that are scheduled over time are called tasks. The tasks themselves already have a date and time on the diary, assigned by agent or group of agents.

However, if the tasks include the start date and the limit date, they are treated as tasks to be scheduled. Attendo uses Gantt charts to plan these types of tasks. Moreover, scheduled tasks also appear on the agent or agent group calendar. The planned tasks are basically of two types:

    • Chained tasks: these are the depending tasks on a previous one being closed. Once the previous chained task has been closed, Attendo will allow the child task to be opened.
    • Free task: these are the tasks that do not have dependencies nor depend on previous tasks. They are planned and replanned with complete freedom.

Besides, scheduled tasks have different options and different states. These are:

    • Task duration
    • % task completed
    • Dependencies (pre-planned tasks)

As mentioned before, the level of detail and dependencies (hierarchy) of scheduled tasks is configurable by project.

WORK IN MOBILITY

Operators in mobility access assigned tickets from Android or iOS mobile phone, and can have these functions:

    • Real-time access to tickets, tasks and scheduled tasks assigned to yourself or the team to which you belong.
    • Files and stored documents in the ticket.
    • Files and documents stored in the project, chapter or subchapter.
    • Reassignment of work to another partner in the group of agents or escalation to a team leader.
    • Automatic time counter, which will impute the operator’s time to the open ticket.

In addition, the mobile application offers the following exclusive functions:

    • Geolocation.
    • Recording of stopping points (GPS coordination, date/time ad reason for stopping).
    • Vehicle used and initial/final reading of kilometers (management of fines).
    • Capture of photos and stored in ticket.
    • Customer signature capture

CONTINUOUS ANALYSIS OF DEVIATION OF HOURS

Attendo has graphs and lists that allow the deviation of hours and costs (budgets vs. actual) to be analyzed at any time and always in real time, filtering by the following elements:

    • Data range.
    • Chapter or phase.
    • Subchapter.
    • Ticket, scheduled task or simple task

Using these elements of analysis we can detect variations at the same moment of execution in a simple and fast way. The agility in making these continuous analyzes will allow us to make the corrections that are required to guarantee the final profitability of any project.

05.

GLOBAL ANALYSIS

When the projects has been completed, Attendo will be able to export the actual times and costs by chapter or phase, as well as its subchapters.

Once received in the ERP, we will be able to globally analyze the profitability of the working hours and the purchases made with respect to the expected hours and the costs in the expected materials and analyze the project globally.
